A well established firm based in Greenside is looking for an Office Assistant / Receptionist


  • Maintain a system for documents dropped off and collected by clients / drivers
  • Manage boardroom bookings and ensure facilities are ready and in working order
  • Manage the coffee station and ensure it is stocked and clean, at all times
  • Manage and order stationery
  • Manage office consumables
  • Attending to printing requests from senior staff
  • Preparing quotes / invoices on the accounting system on instruction of senior staff
  • Assist with general office admin
  • Managing diaries / out of office for senior staff
  • Any other tasks that may reasonably be required

Taking care of full reception function:

  • Receive clients
  • Receive deliveries (client files / documents)
  • Receive calls and transfer the calls to the appropriate extension (25 extensions)
  • Take telephone messages and give these to the correct persons via email
  • Monitor entrance and exit gate
  • Monitor security camera’s
  • Offer refreshments to guests / clients and executive staff

Assisting with filing needs:

  • Preparing files on request from senior staff
  • Assisting with filing needs when required


  • Using excel to capture data.
  • Capturing client tb’s and other Excel spreadsheets.
  • Typing letters and other documents

Maintaining data bases (Accfin, Act, Sage One and body corporates):

  • Onboarding clients onto the Data Base Software
  • Preparing client permanent files
  • Obtaining engagement letters from senior staff for client engagements
  • Filing engagement letters, fee acceptance and client onboarding forms
  • Removing clients from Data Base Software
  • Amending / updating client records

Dealing directly with service providers:

  • Contacting service providers when necessary
  • Dealing with repair and maintenance technicians
  • Printers / Internet / Telephones

Capturing on Sage One:

  • Capture and allocate debtors receipts
  • Prepare quotes / invoices as required
  • Send out relevant debtors age analysis on a weekly basis

Candidate Requirements


  • Matric (essential)
  • MS Excel spreadsheet knowledge (can train on the difficult more advanced things)
  • 2 years’ experience in a similar position
  • Come from an Auditing / Accounting firm (beneficial but not essential)
  • Non-smoker (preferable)
  • English / Afrikaans speaking (must however be able to understand Afrikaans)
  • (M – F) 08:00 – 16:30

Computer Literacy:

  • MS Excel
  • MS Word (essential)
  • Sage One (will train)
